Enrolling Staff and Students

Staff enrolment

Module leaders, course leaders and external examiners are automatically enrolled onto Blackboard sites each night based on data held in SITS. If you are not on a Blackboard site but are the course/module leader, SITS is probably incorrect and you need to update it:

Login to SITS Online (VPN required), select Curriculum and Fees Data on the left and choose either Update Course Leader or Update Module Leader then complete the form. You will then be enrolled on the relevant Blackboard sites overnight.

To enrol other staff members onto a Blackboard site, you need to use the Staff Enrolment Tool.

Step 1. To enrol staff members to your site you will firstly want to navigate to My Tools which is found under the Details & Actions area.  

Step 2. This will show you a range of tools available to you, one of which is the Staff Enrolment Tool.

Step 3. Pressing on this will open the LTI link, (this hasn’t changed from classic so should be familiar if you’ve used it previously).  

Step 4. Press on the Add User button, and then select either to search using their last name or username.

Step 5. Type into the search query box and press the search button to find the staff member you require to be added listed below the box. Please note if you are getting no results you may need to recheck the spelling.  

Step 6. Once you have found the staff member, you then select which role you would like to give that staff member (typically Instructor/Leader). Roles control access to the content and tools within a site. Each user is assigned a role for each site they participate in when they are enrolled. You can also edit roles later in the tool.  Additional Information on Roles.  

Once you have assigned the staff member the appropriate role, press the enrol button and they will be enrolled onto your module/organisation. 

Enrolling Students to Module Sites  

Students are automatically enrolled onto Blackboard module sites as part of the enrolment process in SITS. You can view a list of enrolled students via a module site's Gradebook. If you believe there is an issue with student enrolment on a Blackboard module site, contact Academic Administration. 

Enrolling Students to Organisation Sites

Often course administrators can help with enrolling students onto course organisation sites, but anyone is able to do this process.

Step 1. Create a CSV or TXT file which has the student IDs you wish to enrol on the organisation site. There should be one student ID per line. CSV is an option for saving when using Excel.

It is possible to get a list of students on a course or module in the correct format required above based on SITS data. To do this, search for the relevant course or module in Curriculum View (requires VPN), then select [View all Students studying this Course/Module Occurrence]. When it loads you should see a button [Download Student Numbers]. Save that file which is generated for step 3.

Step 2. Now go to Blackboard institution page and find the link in the Blackboard Tools section called Enrol students on an organisation site.

Step 3. Click this link to bring up the student enrolment tool. Add the Organisation Site ID you want to add the students to, choose enrol or remove students and upload the CSV/TXT file you downloaded / created in the first step.

Press the Start Enrolments button to begin enrolling students to the organisation site.
